Stock Visibility Solution

Critical stock availability, where and when it is needed.

Stocl Visibility Solution

Critical stock availability, where and when it is needed.

Why

Stock visibility solution ensures that critical commodities are available where they’re needed, in the right quantity and quality.

Authorities’ best efforts to provide critical medicines or aid relief to people who need them are often derailed by fragmented systems, paper-based record-keeping, and inefficient supply chain planning. This can result in stockouts or oversupply and stock expiration, ultimately making a bad situation worse.

What

SVS is a digital tool with powerful API capabilities that proactively monitors stock and resupplies of essential medicines and consumables, supporting end-to-end visibility for last-mile facilities. It replaces paper-based stock management processes with digital technology for end-to-end visibility, stock control, and planning, ensuring access to medicines or aid.

1

Reminders & Alerts

SVS supports configurable, automated alerts and notifications to system users;

–  to remind them to submit data
–  provide advance notifications of expected shipments
–  provide alerts/notifications of stock-outs
–  provide automated ordering prompts

2

Stock level verification

Facilities can capture stock levels and key data points per product using the mobile application. The system has been configured to support multiple reporting methods. Additionally, SVS also enables more detailed verification of facility stock, including physical and transactional stock. The module verifies paper-based bin-card information and enables comparisons and identifies anomalies pertaining to the batch and bin quantities.

eordering

eOrdering

The SVS Mobile App uses adaptable replenishment policies to prompt informed pull ordering, with centralised planning functions. E.g. The Min/Max and order schedule to prompt users if it is 7 days or less before the scheduled order date and the captured stock level is below the ‘min’ value. If any current stock level is below minimum, the mobile user will be prompted to place an order.

Users can also order specific stock items based on recommended order quantities. Orders are grouped into an order requisition, for facility managers to sign off and submit for approval. Specific web users are able to edit and/or approve orders received from facilities.

Through integrations, automated ordering flow and ordering quantities are calculated, taking into consideration upstream warehouse management systems and available data

3

End-to-end visibility

Management has real-time oversight of stock levels and key data elements. SVS includes standard near real-time reports and visual dashboards, as well as customisable dashboards based on client requirements. Data collected by the mobile application is uploaded to the cloud and available via web-based applications. Information collected via inbound APIs is included as part of end-to-end visibility.

4

Stock distribution & Receiving

The eReceiving module has been configured to confirm that stock has been received at the final destination point. This includes delivery document details, receiver, and container barcodes. The module also allows for the condition of the stock upon arrival to be captured.

The advanced receiving module enables verification of deliveries against pre-populated system-generated tasks and delivery details (based on 3PL delivery notes) enabling end-to-end visibility (from central warehouse to facility level).

SVS has sustained >86% user adoption across 2,200 facilities and has generated 85 million stock updates since 2014.

Benefits

Demonstrable value at each step in the supply chain

Patient treatment and care: Citizens needing medicine know that it will be available when they need it, where they need it, helping them manage their treatment programmes.

Mobile connectivity and offline capability: Clinic staff record and track stock levels and order new stock on a mobile phone. The system also works offline, uploading data to the central database as soon as connectivity is established.

Dashboard oversight: District, provincial, and national health department managers have top-down oversight through a real-time web management portal to ensure that clinics are tracking stock levels and ordering and receiving their stock.

Aid agencies and Donors can monitor stock levels and coordinate stock availability in various parts of a country or area for relief efforts. They can also ensure that valuable donations and commodities are being accessed by the intended beneficiaries, supporting overall programme responsiveness and reporting.

Transparent records for accountability: A transparent record of all stock movement makes stakeholders confident that their spending is being used appropriately.
